Diseño y evaluación de metodología de gestión de activos e insumos del grupo GIBIC

Abstract

RESUMEN : La gestión de activos e insumos es esencial para cualquier entidad que pretenda optimizar el uso de sus recursos, además de una identificación de activos e insumos disponibles. Una metodología eficaz permite identificar, clasificar, controlar, gestionar, registrar y establecer procedimientos o protocolos con el fin de garantizar un uso seguro, eficiente y responsable. Con el propósito de mejorar la gestión de inventarios del grupo de investigación GIBIC se planteó este proyecto de investigación, el cual consistió en desarrollar, ejecutar y evaluar una herramienta que permitiera tener control y acceso oportuno a los activos e insumos del grupo de investigación. Para los activos se propuso hacer una gestión mediante el uso de Microsoft Forms y Excel, en esta herramienta se buscó identificar las cuatro etapas del activo después de su adquisición: ingresos, ajustes (calibraciones y mantenimientos), préstamos y devoluciones, y salidas. Con estas etapas se estableció una conexión que reflejara la información de estas en un inventario general. En el caso de los insumos, se propuso un enfoque de organización de la información, lo que implicó la consolidación de esta en un único documento de Excel, adicionando las etapas de ingresos y salidas. La implementación práctica de ambos procesos incluyó la organización y comprensión de la información, implementación de fórmulas, creación de formularios y hojas de cálculo, así como el diseño de protocolos para su utilización y evaluación, con el objetivo de realizar una gestión de la información de los inventarios de manera integrada, fluida y comprensible.

ABSTRACT : Asset and input management is essential for any entity seeking to optimize the use of its resources, in addition to an identification of available assets and inputs. An effective methodology allows to identify, classify, control, manage, register and establish procedures or protocols in order to ensure a safe, efficient and responsible use. In order to improve the inventory management of the GIBIC research group, the research project consisted of developing, executing and evaluating a tool that would allow control and timely access to the assets and supplies of the research group. For the assets it was proposed to make a management through the use of Microsoft Forms and Excel, in this tool, it was sought to identify the four stages of the asset after its acquisition such as income, adjustments (calibrations and maintenance), loans and returns, and outputs. A connection was established with these stages to reflect their information in a general inventory. In the case of inputs, an approach to organize the information was proposed, which implied the consolidation of this information in a single Excel document, adding the stages of inputs and outputs. The practical implementation of both processes included the organization and understanding of the information, implementation of formulas, creation of forms and spreadsheets, as well as the design of protocols for their use and evaluation, with the objective of managing inventory information in an integrated, fluid and understandable manner.
